Who we are
Kiowa Systems Limited (company number 15906139) is the controller responsible for the personal information described in this policy. Our registered office is Mynshull House, 78 Churchgate, Stockport, Cheshire SK1 1YJ. Our operational office is at 124 City Road, London EC1V 2NX.
Information we collect
When you contact us, you may provide your name, organisation, email address, telephone number and any information included in your message. The enquiry form prepares an email in your own email application; the website itself does not store the information entered into the form.
Our website hosting provider may process limited technical information, such as your IP address, browser information, the page requested and the date and time of the request, to deliver and secure the website.
How and why we use your information
We use enquiry information to respond to you, understand your requirements, manage our business relationship and maintain appropriate business records. Our lawful basis is our legitimate interest in communicating with prospective customers, partners and other business contacts. Where we must retain or disclose information to comply with law, our lawful basis is compliance with a legal obligation.
Name, organisation, email address and a message are required if you use the enquiry form so that we can identify and respond to your enquiry. Providing a telephone number is optional.
Service providers and disclosures
We do not sell enquiry information or share it with marketing partners. Our email is hosted using Microsoft 365 supplied through GoDaddy. Microsoft and GoDaddy may process personal information on our behalf only to provide and secure the email service. Our website hosting and technical service providers may process limited technical information where necessary to operate and protect the website. We may also disclose information where required by law or to establish, exercise or defend legal claims.
International transfers
Some service providers may process information outside the United Kingdom. Where this happens, we rely on an applicable UK adequacy regulation or appropriate contractual and organisational safeguards designed to protect the information.
How long we keep information
We retain unanswered and general enquiries for up to 24 months after the last contact. If an enquiry results in a customer, supplier or other business relationship, relevant information may be retained for longer where needed to manage that relationship, meet contractual obligations, resolve disputes or comply with legal and accounting requirements.
Cookies, analytics and external content
This website does not use analytics, advertising cookies or tracking technologies. The website uses the standard fonts available on your device and does not load fonts from Google Fonts or another third-party font service.
Your data protection rights
Depending on the circumstances, you may have the right to ask us for access to your personal information, to correct or erase it, to restrict its use, to object to processing based on legitimate interests, and to receive information you provided in a portable format. These rights are subject to legal conditions and exemptions. You also have the right to complain to the Information Commissioner’s Office.
